AGR CONFERENCE 2008 - Sponsorship Packages

  
FINANCIAL SPONSORSHIP OPPORTUNITIES
 
Conference consists of more than the speeches and presentations. The following opportunities support activities that ensure a successful conference. The prices are reserve prices and if we should receive more than one offer to sponsor a specific activity we then ask each potential sponsor for one sealed bid and award the package to the highest bidder.
 
1.      SEMINARS AND OTHER BREAKOUT SESSIONS. There are 5 seminars, 10 best practice sessions, repeated twice, and 10 showcases. They take place over both days and require a range of audio/visual aids. This is an opportunity for a sponsor to support the cost of providing the technology to enable the sessions to be presented to the highest standard. The sponsor can place brand identification in each room. RESERVE PRICE £3,000.
 
2.      MONDAY LUNCH. A sit-down hot buffet lunch served with soft drinks. This year lunch will be served in the Caernarfon Suite at round tables. The sponsor can use menu cards and/or some other form of creative branding on tables, walls and because lunch will be taken in the main hall with the stage set, the screen projection can also be used by agreement. RESERVE PRICE £2,000.
 
3.      TUESDAY LUNCH. A finger buffet with soft drinks, which we plan to serve in the exhibition area. The sponsor can use menu cards and/or some other form of creative branding around the serving areas. RESERVE PRICE £1,500.
 
Why not combine the two lunches for a total cost of £2,750?
 
4.      DRINKS RECEPTION ON MONDAY EVENING. A formal reception in the exhibition area prior to the Awards Ceremony. Wine, beer and soft drinks are served. Sponsors can arrange brand identification to suit the location and the occasion in consultation with AGR.  RESERVE PRICE £3,000.
 
5.      CONFERENCE AWARDS DINNER ON MONDAY EVENING. A three course dinner for more than 500 people in the Caernarfon Suite which is transformed into a splendid banqueting room for the occasion. Sponsors normally arrange for menu cards, prepared by the hotel, to carry their logo. They may also wish to put small gifts such as chocolates, or cameras, on the tables RESERVE PRICE £3,000.
 
6.      CONFERENCE DINNER WINE. An essential ingredient for a successful conference dinner is a good wine. Perhaps this is why sponsors often combine the sponsoring of both the dinner and the wine. Sponsors can place cards on tables or around bottle necks. RESERVE PRICE £3,000.
 
Options 5 and 6 can be combined for a RESERVE PRICE OF £5,000
 
7.      FIRST-TIMERS RECEPTION. A first-timers drinks reception is held on the Sunday evening as an ice-breaker and networking opportunity for those delegates attending their first AGR conference. The AGR Board of Directors attend and the chairperson makes a short welcome speech during which he thanks the sponsor. Sponsors can install a prominent display in the Caerleon Suite and, if they wish, design an invitation card which goes into the delegates’ bags. RESERVE PRICE £1,000.
 
8.      CONFERENCE DISCO. One of the most popular forms of entertainment we have held is the conference disco which has replaced live acts because that’s what the delegates want. Runs from the close of dinner until 1.00 am, sponsors can take a particular theme and/or brand the stage set accordingly. RESERVE PRICE £1,000.
 
9.      DELEGATES’ IDENTIFICATION BADGES.  These are issued at registration to all those attending the event. This year we are proposing that the production and management of the badges will be undertaken by the conference organisers in consultation with the sponsors who will be able to determine the design. RESERVE PRICE £1,500.
 
NB Acknowledgements of all the major sponsors will appear in the delegates packs and on the screen projection on the main stage before and after each plenary and the awards ceremony and during the conference dinner.
 
IN KIND SPONSORSHIP OPPORTUNITIES
 
There are various possibilities for providing those small touches that make Conference a memorable occasion. The following is a list of arrangements that have been used in the past. Sponsors can add logos to items where appropriate. New ideas for this form of sponsorship are welcome.
 
10. DELEGATES’ LEARNING LOGS (AND PENS). The conference planning team want to extend the practice of issuing a notepad and pen to each delegate to something more akin to a learning tool. This is something that should appeal to, say, to a training provider who would design the learning log in a way that allows the delegate to use it to set their own learning objectives for the conference and record their experiences and any action points. Once the design has been agreed, the sponsor would then be responsible for the production of up to 600 such logs which will be included in the delegates’ packs. ADMINISTRATIVE CHARGE £500
  
11. DELEGATE HOLD-ALLS Issued to all delegates on arrival and often still in use long after the event has closed. The shape and design has to be agreed with the organisers before the sponsor goes ahead and organises the production and delivery to the AGR office at least a week before the event.
 
12. SUPPORT FOR THE AWARDS PRESENTATION. We want our own version of the Oscars to be memorable and professional support with the design of the visuals to support the presentation is invaluable. This year there are a record six awards plus the ‘Best of the Best’. The sponsor receives an acknowledgement from the presenter and on the visual display itself.
 
13. CONFERENCE EVALUATION AND PRIZE DRAW. An invaluable service which is of great assistance in planning future events.

INSERTS:  These can be included in the delegate packs - the decision on what to include will depend on practical issues, such as size and shape, and whether the insert in any way deflects from the branding of the premier sponsor. PRICE £600.
